Terms & Conditions
These Conditions apply to all persons entering and making use of the Flow Festival Site (“the Site”).
Who needs a ticket?
— No one needs a ticket — the festival is free for everyone.
Entry and Access
— Visitors enter the Site at their own risk.
— Access to certain areas of the Site is restricted to authorised persons only and/or may be subject to certain conditions. Non-authorised persons must not enter into or make use of restricted areas unless specifically authorised to do so.
— All Attendees must fully comply with the Flow Crew, the Security Guards and all other authorised stewards.
— The right to refuse admission is reserved to Flow Festival Crew in the event that it considers entry will constitute a risk, inconvenience or disturbance to others. Any person who is reasonably suspected by the Flow Festival Crew and its authorised agents of having committed, or being likely to commit, a criminal offence within the Site may be ejected from the Site at any time.
— Attendees are not permitted to bring drinks or food into the Event Area. However, water is allowed.
— The Flow Festival Crew reserves the right to limit items which may be brought to the Site and to search bags and persons before granting entry to the Site or certain areas of the Site. Attendees agree to such searches and the Flow Festival Crew reserves the right to refuse entry to, or to eject from the Site, anyone refusing to submit to such a search.
— Dogs are permitted but must be kept on a leash at all times. We highly recommend leaving your dog at home as festivals can be too loud for your pets. However, if you still choose to bring your dog, please ensure they are kept at a considerable distance from the speakers.
Prohibited Items and actions
Illegal Substances: Possession or use is strictly forbidden.
Glass Containers: No glass bottles, containers, or glassware of any kind.
Potential Weapons: Anything that could be considered a weapon, including sharp or pointed objects (e.g., knives, large corkscrews), and 'personal protection' sprays.
Sound Systems: Personal sound systems or amplified music devices are not allowed.
Unauthorised Recording: No unauthorised audio or video recording of the event. All images and sound recordings remain the property of the Flow Festival.
Dangerous Behavior: Any actions that could endanger others, including climbing scaffolding, flag poles, or trees.
Fly Pitching or Unauthorized Trading: Selling goods or services without permission will result in expulsion.
Bringing Drinks or Food: Attendees cannot bring their own drinks or food into the event area, except for water.
Use of Electronic Equipment: To avoid nuisance, electronic equipment or musical instruments must not be used in a way that inconveniences others.
Attendees found in possession of these prohibited items or engaging in prohibited actions may be refused entry or ejected from the site. Please respect these rules to ensure a safe and enjoyable festival for everyone.
Safety and Security
— Attendees must comply with the instructions of the Flow Festival Crew and/or its authorised agents (including stewards and security staff).
— Music and amplified sound may be in excess of 100 decibels and prolonged exposure can damage hearing especially to young children. Ear protection is recommended. — Did you know? We have ear protection for your kids. Just ask at the info desk for some.
— Thieves may operate within the Site. Attendees should not leave money or valuables unattended in any area of the Site.
— Climbing scaffolding or any permanent or temporary structures, flag poles or trees is strictly prohibited.
Evacuation plan
— The festival has an emergency evacuation plan to ensure a rapid, safe, and calm evacuation towards emergency exits and the main assembly point: Centre Sportif Kannercampus (200 m from the site).
— The Flow Festival Crew holds final decision-making power to interrupt the event, evacuate a zone, or launch a full evacuation.
— Evacuation messages will be communicated via sound system and social media in a calm and clear voice to avoid panic.
— All visitors must follow instructions from the Flow Festival Crew and emergency services during an evacuation.
— When the evacuation plan is launched, no visitors are allowed to stay on site and must evacuate.
Photography, Filming and Recording
— During the Flow Festival various filming, photography and broadcasting takes place at the Site. By attending the Festival, Attendees grant their permission, free of charge, for their image, likeness and voice to be included in pictures and/or on film and/or audio broadcasts or transmissions and their exploitation and advertising without compensation or credit. Attendees acknowledge that any such use under this condition, and their agreement to such use, shall last in perpetuity.
— Attendees on the Site acknowledge and agree that the Flow Festival is the sole legal and beneficial owner of any intellectual property rights (including copyright) in any images or material taken or recorded at the Site (including by Attendees) and hereby assign any rights they may have in respect of such images, material or recordings to the Flow Festival.
— Attendees waive all rights (including moral rights) in any such images, material or recordings. Attendees are entitled to use any images or material taken or recorded at the Site for their personal use but not for any commercial purposes or for the endorsement of any business or product.
— Still photographs, film, videotape or other audio-visual material recorded within the Site may not be sold, used or published commercially in any way whatsoever unless authorised by the Flow Festival Crew and may be confiscated by the Flow Festival Crew if such usage is suspected.
— The use of photographic equipment must not inconvenience any other person in the Site.
— Other than for private and domestic use, any persons attending the Flow Festival shall not record, use or transmit over the internet, radio, television or any other current or future media, any sound, image, recording or description of the Flow Festival, the Site or any match (including any results, statistics, information or other data in respect of the match, whether in whole or in part) or to assist any other person(s) conducting such activities.
— No drones are allowed on site, except if pre-authorized by the Flow Festival crew in advance.
Limitation of Liability
— Flow Festival shall not be liable for the loss or damage of vehicles, goods or other materials belonging to attendees, guests, artists and crew attending the Site.
— In no event shall the Flow Festival Crew or any of its servants, agents or providers be liable for any damages whatsoever, including but not limited to any direct, indirect, special, consequential, punitive or incidental damages, or damages for loss of use, profits, data or other intangibles, or the cost of procurement of substitute goods and services, arising out of or related to the Flow Festival whether such damages arise in contract, negligence, tort, under statute, in equity, at law or otherwise other than:
(a) in any circumstances where there is a breach of a legal duty of care owed Flow Festival; or
(b) in circumstances where such loss or damage is reasonably foreseeable result of any such breach; and
(c) to the extent that any increase in any loss or damage does not arise from breach by You of any of these Terms and Conditions.
— Notwithstanding the above nothing in these Conditions of Entry shall act to, exclude or limit our liability for death or personal injury resulting from our negligence, fraud or any other liability, which may not by applicable law be excluded or limited.
— The Flow Festival will not be responsible for any theft, damage or loss to Attendee’s equipment and personal possessions.
FLOW FESTIVAL RESERVES THE RIGHT FOR ITS AUTHORISED EMPLOYEES, AGENTS, CONTRACTORS AND POLICE OFFICERS ACTING REASONABLY TO REMOVE FROM THE SITE (WITHOUT REFUND OR COMPENSATION) ANY PERSON WHO CONTRAVENES THE ABOVE ‘CONDITIONS OF ENTRY AND TERMS OF USE AND ANY PERSON WHOSE PRESENCE AND/OR BEHAVIOUR IN THE SITE COULD REASONABLY BE CONSTRUED AS DANGEROUS, A NUISANCE OR ANNOYANCE TO ANY OTHER PERSON IN THE SITE.
General
— In these Terms and Conditions “We”, “Our” or “Us” shall refer to the Commune de Sanem and “You” and “Your” shall refer to you as a visitor.
— Please note that access to the Festival Site is subject to the Conditions of Entry and Site Use which can be found at www.flowfestival.lu
Health and safety
— Visitors must comply with all relevant statutes, safety announcements, and Venue regulations whilst attending the Festival. If Visitors have any special requirements or concerns about any special effects which may be featured at the Festival, prior notice should be provided before entering the Site. Special effects may include, without limitation, sound, audio-visual, pyrotechnic effects, or lighting effects.
Dispute resolution
— Any complaints about the Festival should be made promptly to the Commune de Sanem.
— If any dispute arises the Flow Festival Crew will attempt to resolve it. Although this does not restrict your rights to pursue court proceedings, if we are unable to settle any dispute by negotiation within 21 days, the parties may attempt to settle it by mediation. To, initiate a mediation a party must give written notice to the other parties to the dispute requesting a mediation.
Assignment
—We shall be entitled to assign any of Our rights and obligations under these Terms and Conditions provided that Your rights are not adversely affected.
Third parties
— Any person who is not a party to these Terms and Conditions shall have no rights under the Contracts.
Events beyond our reasonable control (force majeure)
— For the purposes of these Terms and Conditions, ‘Force Majeure’ means any cause beyond Our control including, without limitation, act of God, war, insurrection, riot, civil disturbances, acts of terrorism, disease, fire, explosion, flood, theft of essential equipment, malicious damage, pandemic, strike, lock out, weather, third party injunction, national defence requirements, acts or regulations of national or local governments. We will not be liable to You for failure to perform any obligation under these Terms and Conditions to the extent that the failure is caused by Force Majeure.
Whole agreement
— These Terms and Conditions are the complete agreement between You and Us regarding this subject. They replace any previous agreements or discussions. By entering the Site, you're agreeing that you understand and accept these terms fully. You also agree that you haven't relied on any promises or statements not included in these Terms and Conditions or directly communicated to you by us.
